How We Use AI

Deal Haven uses artificial intelligence to help you work through deals faster. This page explains—in everyday language—what that means for you, what the AI can and can’t do, and how you stay in charge.

What the AI does

We offer three AI-powered features:

Document extraction — You upload a PDF or Excel file with company accounts. The AI reads the file and suggests figures such as revenue, costs, total assets, and about twenty other standard fields. You then see those suggestions on a review screen. Nothing is written into your deal’s financial model until you have checked each value and chosen to accept it, change it, or reject it.

AI Deal Assistant — Inside each deal there is a chat where you can ask questions about the deal’s finances, risks, valuation, or structure. You can attach files (PDFs, Word, Excel, images) or point the assistant at documents already saved in the deal.

Offer letter generation — When you want a first draft of an indicative offer letter, the AI can draft one using the numbers and scenario from your deal model (for example base, upside, or downside). You always review and edit the draft in a full editor before you save or send anything.

How it works

These features use AI language technology from OpenAI (a well-known AI provider). You don’t need to know how the technology works behind the scenes—we handle that for you.

Document extraction

For PDFs, the AI reads the file directly. For Excel, we first try to read the spreadsheet in a straightforward way; we only use AI if the layout is unusual.

If the AI is unsure about a number, it may try again with a more capable approach to improve the result.

Each suggested figure comes with a confidence hint and a source—the text in your document that the suggestion was based on—so you can see both what was found and why.

AI Deal Assistant

When you send a message, the AI receives your question and information about your deal. To keep things efficient and limit what we share, we only send the deal details that are needed to answer you—we don’t automatically dump your entire deal into every message.

If you attach files: PDFs and images are sent to the AI so it can read them. Word, Excel, and plain text files are turned into text on our servers first, then sent.

Searching across your deal documents:
When you save files in the deal’s document library, we may create a searchable copy with OpenAI so the assistant can find relevant passages across those files when you ask questions. That is separate from attachments you add only in chat. If you remove a document from the deal, we delete that copy as soon as we can—search results may take a short time to catch up.

The assistant remembers the current conversation so you can ask follow-ups. Very long chats may mean older parts of the conversation are shortened to stay within technical limits. If you start a new chat, that conversation starts fresh—previous chats are not carried over.

The assistant may refer to numbers from your deal. It can still make mistakes. Always check important figures against your original documents or your model.

Offer letter generation

When you generate a letter, the AI uses the financial picture for the scenario you picked—price, valuation, funding, fees, and key balance sheet items—as well as your name (for the signature) and contact names from the deal (so the greeting can be personalised).

The draft follows a sensible structure for UK-style M&A correspondence. It uses only the data from your deal model and does not invent figures—if something is missing, the draft may show placeholders.

You edit the draft in a normal word processor–style screen. If you send the letter by email, a short note can be added so recipients know the letter was drafted with AI assistance and reviewed by you.

What the AI is good at

The AI tends to work best on standard UK company accounts, especially clear, well-formatted filings.

For many typical documents, it picks up most of the main fields correctly on the first pass.

Where the AI falls short

No AI is perfect. Here is what to watch for.

Document extraction

Poor scans or messy layouts cause errors. Non-English documents are not supported.

Units matter. If accounts are in thousands (£000) or millions (£m), a wrong unit makes every number in that section wrong by a large margin.

Group accounts (parent plus subsidiaries) can be confusing—the AI may sometimes pick the wrong level of figures.

The AI does not learn from your fixes. Correcting a mistake on one upload does not guarantee the same mistake won’t happen on another file later.

AI Deal Assistant

The assistant is general-purpose. It is not a replacement for a qualified financial or legal adviser. It can misread figures, get calculations wrong, or sound confident when it is wrong.

Attachment quality matters—bad scans or huge files may lead to weak or incomplete answers.

Very long chats may mean older messages are shortened to fit within limits. The assistant focuses on recent messages.

If your question is too large or vague to handle safely, we may ask you to narrow it instead of guessing.

The assistant only sees what is in your deal and what you give it. It cannot browse the internet for market data, comparables, or news.

The draft is a starting point, not a final legal document. Get legal advice before relying on it for anything binding.

If your deal model numbers are wrong, the letter will be wrong too—check every figure against your model.

The letter assumes UK-style M&A wording. Other countries may need different language and terms.

The AI does not know your specific legal or regulatory obligations for the transaction.

What AI is not for

We are clear about what we don’t offer.

AI suggestions and chat answers are not a substitute for reading the original documents or getting professional advice.

Do not use AI output as the only reason for an investment or pricing decision.

The AI is not meant for tax returns, personal finances, or non-English documents.

Nothing the AI produces should be treated as financial advice, a recommendation, or professional guidance. Think of it as helpful information that you must verify.

You are always in control

Document extraction

Nothing enters your financial model until you complete the review.

You see a confidence signal for each value. Green means strong support in the document. Amber means check carefully. Red means weak support—verify before accepting.

You can accept, edit, or reject values one by one, or reject the whole import. Important fields like revenue and total assets need a clear decision from you before you can finish.

Unusual values compared to prior years may be flagged so you notice them.

AI Deal Assistant

You will always see a short notice that answers may be wrong and are not financial advice.

You choose what to share and what to ask. You can delete conversations whenever you like.

The assistant cannot act on your behalf in the product—it only returns text. You decide what to do next.

To keep the service fair and affordable, we limit how fast you can send messages in a row. If you send too many too quickly, we’ll ask you to pause briefly.

Your organisation may also set a monthly limit on AI chat use. If you reach it, we’ll tell you in the chat. You can try again in a new month or ask your organisation’s admin whether the limit can be adjusted.

If a reply finishes on screen but hasn’t saved yet, you may see a short message and a retry option—so you don’t lose an answer if saving is delayed.

You choose when to generate a letter and which scenario to use.

The draft is fully editable before you save or send.

No email goes out unless you choose to send it.

We keep a record of each generated letter—what was generated, when, and by whom—so there is a clear history.

Your data and privacy

When you use these features, some of your information is sent to OpenAI to process your request.

  • Document extraction: your uploaded PDF or Excel file.
  • AI Deal Assistant: your messages, the deal information we need to answer, any summaries or lookups we build from your deal to respond, and files you attach or point to.
  • Offer letter generation: the scenario and financial figures from your model, your name, and contact details used in the greeting.

OpenAI does not use this data to train its public models under their standard API terms. They may retain data briefly for safety and abuse prevention as described in their policies.

We store your chat history in our systems so the assistant can follow the conversation. You can delete conversations. We also keep internal records of AI use for quality and compliance—we don’t log more than what was already involved in the conversation.

Files you upload in chat but never send are deleted within about 24 hours.

We do not use your content to train our own AI.
